PROGRAMME ASSISTANT
Reports to: Chatterbox and Letterbox Programme Leads
Location: Omega office, Shrewsbury with hybrid available
Contract Type: Part-time PAYE (16 hours per week on Tuesday, Thursday and Friday, with cover work available)
Salary: National living wage

As our programmes have grown significantly in recent times, we are now looking for a committed and capable Programme Assistant to join our small, friendly team. This is a rewarding role for someone who wants to make a real difference by helping to deliver our vital support services.
Key Responsibilities:
Set up and facilitate an online weekly group, creating a welcoming, inclusive environment for participants • Proactively build and maintain relationships with local organisations and community partners to attract new volunteers • Recruitment and on boarding of volunteers, ensuring a supportive and efficient process • Provide operational support to programme team leaders, particularly during absences, including reading and processing incoming correspondence, responding to telephone calls and emails, completing programme reviews • Monitor call logs and follow up with any required actions to support client wellbeing • Check and respond to emails, ensuring timely and professional communication • Manage incoming calls for the Chatterbox telephone befriending programme, resolving any issues sensitively and efficiently • Process new client referrals received via the Omega website • Support the team with bi-monthly programme reviews, collecting and recording relevant data and feedback • Assist with maintaining contact with clients by calling those on the waiting list to update them or offer interim support, following up with clients on the office welfare list to check in on their wellbeing, reaching out to individuals on the potential list who may benefit from Omega services
Person Specification:
Essential: Excellent communication and interpersonal skills • Strong organisational skills and attention to detail • Ability to manage multiple priorities and work independently • Proficiency with email and basic digital tools • A proactive and empathetic approach to working with clients and volunteers
Desirable: Experience working or volunteering in the charity or community sector • Understanding of the challenges facing carers, the bereaved, and socially isolated individuals • Familiarity with volunteer management and safeguarding practices
